How do I create a holiday request on behalf of an employee?
Once an employee has booked time off, Self-Service notifies you by email that the request needs to be approved. But if an employee is unable to do so, you can create a Holiday Request on their behalf. It is automatically approved if you are the sole manager, otherwise, the request must go through tiered approval.
The submitted or cancelled requests that come through the Holiday module must be approved in order to keep track of an employee’s history of absences.
You can create a Holiday Request in either Approval, Calendar or Team calendar.
Sign in to Self-Service.
Navigate to the Manage Holiday Bookings page, by clicking the Holiday Approvals menu option under Management.
Click the Request Holiday button. The Create Holiday Booking form appears.
Select the Employee.
Select the Absence Type from the drop-down list, if necessary.
Select the Start Date and time period.
Select the End Date and time period. The days are automatically calculated.
Enter any relevant notes.
Click the Approve button.
Click the Confirm button. The following changes have occurred.
The request is approved automatically.
The requests status in Approvals is now Approved Booking.
The date(s) in the manager's view of the employee's Calendar now colour-coded as a request.
The date(s) in the manager's view under the employee’s name in Team calendar is now colour-coded as Approved Booking.
The request’s status on the employee’s Calendar and Team calendar is now colour-coded as Approved Booking.
How do I update an employee's holiday request?
After a request is submitted by an employee, you may want to change its details. For example, if the employee extends or cuts short their Holiday.
You can update a Holiday Request in either the Approvals, Calendar or Team calendar views.
Sign in to Self-Service.
Navigate to the Manage Holiday Bookings page, by clicking the Holiday Approvals menu option under Management.
Click the desired Holiday Request. The Holiday Request form appears.
Make the necessary changes.
Click the Resubmit button.
Click the Confirm button. The following changes occur:
The date(s) in under the employee’s name in the Approvals, Calendar and Team calendar views now reflect the updates.
The date(s) in the employee's Calendar and Team calendar views is automatically updated to reflect the changes.
How do I delete an employee's holiday request?
From time-to-time, you may want to delete an employee’s approved request within Self-Service if the absence is no longer needed. You can delete a Holiday Request in either Approval, Calendar or Team calendar.
Sign in to Self-Service.
Navigate to the Manage Holiday Booking page, by clicking the Holiday Approvals menu option under Management.
From the Employee drop-down list, select the desired employee. The associated Holiday Request records appear.
Double-click the desired request. The Edit Holiday Booking form appears.
Click the Delete button.
Click the Confirm button. The following changes have occurred.
The request is deleted automatically from the Approvals list.
The date(s) in the Calendar and Team calendar is now cleared of the request.
The request is deleted from the employee’s Calendar and Team calendar.
How do I approve an employee's cancellation request?
If an employee cancels an approved Holiday Request within Self-Service, you as the manager must approve the cancellation. The process of approving a cancellation is the same process as approving/rejecting a request.
Sign in to Self-Service.
Navigate to the Manage Holiday Bookings page, by clicking the Holiday Approvals menu option under Management.
From the Employee drop-down list, select the employee you wish to view. Any associated Holiday Request records appear.
Navigate to correct Month in the Team calendar.
Click the Holiday Request colour-coded Cancellation Request. The Edit Holiday Booking form appears.
Review the request and if you are satisfied, click the Approve Cancellation button. The Confirm button appears.
If you don’t want to cancel, click the Reject Cancellation button.
Click the Confirm button. Once confirmed, the request record is removed from the Manager’s Team Calendar, Calendar and Approvals views.
The request record is moved from the employee’s Calendar and Team calendar views.
