Assigning an approval workflow to a category means that any expense raised under that category follows that workflow, regardless of any workflow assigned to the user's account.
Note: A workflow assigned to a category always supersedes a workflow assigned to a user account. For more information, see [Assigning workflows to users] XX.
Before assigning a workflow, ensure it has been created. See [Creating approval workflows]. XX
Assigning a workflow to a single category
Go to Setup > Categories.
Click the Edit icon on the relevant category record.

Select the applicable workflow from the Approval Flow dropdown, then click Save.

Assigning workflows to multiple categories in bulk
Go to Setup > Categories.
Select Export from the Actions menu, ensure Include data is selected, and click Download.

In the downloaded file, update the Approval Record Name column for each relevant category with the name of the applicable workflow record.

Save the file and import it back into Capture Expense (Actions > Import).
