This glossary will help you if you’re unfamiliar with any of the terminology found in Cintra People HR, For each term, you can see which version(s) of Cintra People HR the term relates to. If no products are shown, then the terminology relates to all product versions.

360 Feedback HR Success | Feedback gathered from across the organisation as part of a Performance Review. |
Acknowledgement HR Essentials HR Success | A type of action associated with a Company Document, requiring the recipient to confirm they have read it. Can be assigned to individuals or teams via rules. |
Actions HR Essentials HR Success | Tasks assigned to a user within Cintra People HR that are dismissed automatically upon completion. Visible on the user dashboard and alerts panel. |
ADU (Divisional Unit) | A collection of Teams that allows for separate administration of different divisions within Cintra People HR. Designed for larger organisations that require complete separation between two or more administrative groups. |
Allowance | The leave entitlement assigned to an employee. Can be annual (full amount given at the start of the leave year), accrued, or a combination of both. |
Alternate Approver | An approver added to any level of an approval flow who is not notified automatically but can action requests from their dashboard when asked. |
Approval Flow | The configured sequence of approval levels for a request type (Leave, Sick, or TOIL). Each level can require one or more approvers before a request progresses. |
Backfill | A pre-approved absence request created by a manager on behalf of an employee, typically used retrospectively when an employee joins the system mid-year. |
Carry Over | Unused leave allowance carried from one leave year into the next, subject to rules configured in the Work Profile. Carry Over Debt refers to a deduction applied when an employee has exceeded their entitlement in the previous year. |
Category HR Essentials HR Success | A subdivision of the Employee Profile, used to organise fields and records. Sub-categories can also be created within a category. |
Checklist Templates HR Essentials HR Success | Reusable templates used to create consistent checklists across the organisation. Only HR Managers can create templates. |
Checklists HR Essentials HR Success | A list of tasks assigned to user(s) to manage a workflow process, such as onboarding or offboarding. Checklists are created from templates or from scratch, include a due date, and generate reminders. |
Company Documents HR Essentials HR Success | Files, links, or notes shared at company or team level. All Company Documents are assigned a Document Type. |
Document Format HR Essentials HR Success | The format in which a Company Document or employee record is stored: File (upload), Link (URL reference), Internal Note (plain text), Google Drive, or OneDrive. |
Document Type HR Essentials HR Success | A classification applied to Company Documents that determines sharing permissions. |
Dropdown Values HR Essentials HR Success | The selectable options available within a dropdown field on an employee profile. |
Email Templates | Customisable templates for absence-related notification emails, configurable in the Leave configuration area. |
Employee Profile | The record that holds all data about an employee, including profile fields and employee records. |
Employee Records HR Essentials HR Success | Files, links, and notes relating to a specific employee, organised by category within their profile. |
Employee Ribbon | A persistent bar displayed at the top of any employee-focused page, showing the employee's team and job title. |
Employee Switcher | A component of the Employee Ribbon that allows users to search for and switch between employees or teams. |
Field HR Essentials HR Success | A single data item on an employee profile. Fields can be customised and set as mandatory. Mandatory fields are enforced on edit, not on initial profile creation. |
Goals HR Success | Company, team, or personal objectives tracked within Cintra People HR. Visibility and approval settings are configurable, and goals can be shared across the organisation or kept private. |
HR Process HR Essentials HR Success | Part of the Profile area, each process provides access to related functionality. Examples include Personal, Employment, Performance, and Learning & Assets. |
Leave Types | The categories of absence available when submitting a request. Each type is configured as either Deducted (reduces the employee's allowance) or Non-Deducted. Defaults are provided but custom types can be added. |
Leave Year | The 12-month period used to calculate leave entitlement, starting from the configured Leave Year Start Month. |
Length of Service | An allowance increment based on an employee's job start date, used to increase entitlement after a defined period of service. |
News Feed HR Success | A company-wide space for sharing announcements and updates, organised into configurable categories with customisable security settings. Employees can like and comment on posts. |
Notifications HR Essentials HR Success | Automated alerts triggered when a profile field is updated or a date threshold is reached. Delivered by email and recorded in the dashboard and alerts panel. |
Onboarding Portal HR Success | A configurable portal for new starters to submit personal information, review company documents, and complete pre-start tasks before their first day. |
Parent Team | The team above a given team in the organisational hierarchy, used to build the org chart. |
Performance Reviews HR Success | Structured reviews used to gather employee and manager assessments over a set period. Built from Review Templates and can include 360 Feedback. Completed reviews can be saved to an employee's performance profile. |
Primary Approver | The designated approver for a team who receives approval requests and notifications. A team can have multiple Primary Approvers. |
Primary Manager | The single manager to whom all team members report. Receives actions and notifications for their team(s). |
Public Holidays Profile | A list of non-working dates assigned to an individual. Default profiles are available for most countries; custom holidays can also be added. |
Review Cycles HR Success | Automated schedules that generate Performance Reviews on a recurring basis (annual, quarterly, or monthly) for selected employees. |
Review Templates HR Success | Configurable templates that define the components included in a Performance Review, such as assessment questions, profile data, and feedback options. |
Secondary Managers | Additional employees with access to team information who do not receive actions or notifications by default. Can be granted the Editor role to complete actions on behalf of the Primary Manager. |
Sickness Types | The categories of sickness absence available when submitting a request. Defaults are provided but custom types can be added. |
Team | A group of employees sharing the same approval flow. Each team has one Primary Manager and may have Secondary Managers and a Parent Team. Assigning an approval flow to an individual overrides this. |
Team Members | All active or leaving employees assigned to a team. An employee can only belong to one team at a time. |
TOIL (Time Off in Lieu) | Compensatory leave claimed by an employee for work carried out outside normal working hours, resulting in an addition to their leave allowance. |
Virtual Team | A team created outside the normal organisational structure, used to group employees from different teams — for example, a cross-departmental project group. |
Work Profile | A configuration that defines leave and sickness allocation, working hours, accrual rules, carry over entitlement, and public holiday assignments for a group of employees. |
