Creating and editing tags

Tags are made up of two parts: the tag record, which defines the tag type, and values, which represent the specific groups or codes within it. You need to create both before the tag can be assigned to users or categories.

If you have a lot of tags to add, you might find it quicker to import them. See XX.

Creating a tag

  1. Go to Setup > Tags.

  1. Click + Tag.

  2. Ensure Active is selected if you want the tag to be available to users.

  3. Enter a Name, such as Department or Location.

  4. Select Allow edit by expense if users should be able to change the tag value when raising a claim, for example if they work across multiple departments.

  5. Select Compulsory if users must select a tag value each time the tag is available.

  6. Click Save. The tag record is created and you are returned to the Tags page.

Adding values to a tag

You should add at least one value to every tag.

  1. On the Tags page, click + Value beside the relevant tag record (or open a tag and click + Value).

  1. Ensure Active is selected.

  2. Enter a Code, e.g. MKT for Marketing.

  3. Enter an Analysis Segment if required. This maps the value to a specific code in your accounting software.

  4. Enter a Name for the value, e.g. Marketing

  5. Enter a Filter if required. When a user is selecting a tag, they can select a filter and only categories matching the filter will be displayed.

  6. Click Save.

  7. Repeat for each value you need to add.

Editing a tag

You can update an existing tag record to change its settings or add and remove values.

  1. Go to Setup > Tags.

  2. Click the Edit icon on the relevant tag record.

  3. Update the settings as required.

  4. Click Save.

Editing / deleting a tag value

  1. On the Tags page, click the Edit icon on the relevant tag record.

  2. In the Value records list, click Edit or Delete on the relevant value.

  3. Make your changes and click Save.
