Importing and exporting vehicles

You can export vehicle data for reporting purposes, or export a blank template to use as the basis for a bulk import.

Exporting vehicle data

  1. Go to Setup > Vehicles.

  2. Select Export from the Actions menu.

  3. Choose one of the following options:

    • Include data — exports all existing vehicle records and rates.

    • Exclude data — exports column headers only. Use this as a template for importing new vehicle data.

  4. Click Download. The file is saved as a .csv to your local drive.

Adding users to a vehicle

If you would like to assign one or more users to a vehicle:

  1. Follow the steps to export the vehicle data, choosing the Include data option.

  2. Add the email address of the user(s) into the appropriate vehicle row. If you are adding more than one email address, separate them with a comma.

  3. Import using the steps below.

Importing vehicle data

Before you begin: Export the template from Capture Expense and complete it with the relevant vehicle data. See Exporting vehicle data above.

  1. Go to Setup > Vehicles.

  2. Select Import from the Actions menu.

  3. Click Find File and locate your completed .csv file.

  1. Click Import. A confirmation message appears when the import is complete, and all the new vehicles will be added to the vehicles page.
