Managing employee access to Cintra People HR

This article explains how you can configure which areas of the system each user has access to. To view or edit employee access, go to Roles & Access > Login & Access.

Setting login and access

Within Login & Access, you can set their login status as Enabled or Disabled for each user.

From a user’s Login Status drop-down

  • Select Enable Login against a Disabled user to send them a welcome email with their login details. You can also select which modules they can access.

  • Select Disable Login against a Enabled user to prevent them from accessing the system.

  • If the user has been enabled but not logged in, their status will be Expired. For Expired or Enabled users, you can Resend Welcome Email.  

Setting modular access

To enable access for all employees on the list, tick the box at the top of the column, or alternatively pick and choose who has access to each option.

Likewise, you remove access, untick the relevant boxes. Removing access doesn’t affect any stored data.

If your organisation has set up 2FA, you can also control which users can access it from here.

Note: Only active employees are able to login

Cintra People HR packages

The HR package you currently have determines what access you can control access to. For customers using the Leave module, the Login & Access tab will only show you a column for Leave, while those on HR Essentials or HR Success will have more modular access to choose from.

Leave

This gives employees access to view and manage their Leave data, such as requesting Leave, reporting Sick and checking their allowance

HR

HR Essentials: This gives employees access to their HR Profile and the data within it as well as view Checklists.

HR Success: As well as the Essentials access, employees will be able to view Performance Reviews, submit Shout-outs and access the News Feed

Clock-in

This gives employees access to Clock in & out and view their Timesheets

Location

This gives employees access to mark their working location and view the calendar to see other employee locations

Goals

This gives employees the ability to view and update their Goals

HR Success (trial & upgrade)

This module is only available for customers who are trialling HR Success or have upgraded to HR Success in the last 90 days. Enabling it will give employees access to the Success features: Performance Reviews, Shout-outs & NewsFeed
