Benefits: Net-deduction schemes

Important: You can only assign benefit information when editing an employee record, not when creating the employee.

Once you have created an employee, you can then edit them to assign other non-pension, non-salary-sacrifice benefits, such as private healthcare or a health cash plan. Any benefits you add to a user can affect their payroll.

Other benefits

Other benefit describes any net-deduction benefit that comes out of an employee's pay after tax and National Insurance, rather than as a salary sacrifice. Examples include private healthcare, health cash plans, and critical illness cover.

Viewing other benefits

When editing an employee, the Other benefits tab of the Benefits tab displays all other benefits currently assigned to the user, grouped by scheme, with each scheme's contributions listed underneath. Use the toggle to show only active benefits and hide inactive benefits (which either have not yet started or have already ended).

A scheme with no active contribution means the employee is not currently a member.

Adding a new other benefit

  1. Within the Other benefits tab, click Add benefit.

  2. A list of available benefits will be displayed, including any summary information about the scheme. Select a scheme, then click Next.

  3. On the next page, enter a start date for the benefit. The end date is optional.

  4. Click Next, then set the amount.

    • This can be either a fixed amount of pay or a percentage of it. It cannot be both.

    • Some schemes will already have an employee contribution value entered, which you can change by clicking the Override default value toggle.

    • Every benefit must have both an employer AND employee contribution.

  5. Click Add benefit.

Managing existing other benefits

In the Other benefits tab, you can perform the following actions on any benefit by clicking its ⋮ icon:

  • Edit benefit: You can change the date(s) and amount of the employee's contribution. This can affect current payroll and previous payroll periods.

  • Renew benefit: This also lets you edit the employee's contribution dates and amount, but ends the previous contribution and creates a new one, ensuring a clean transition between reporting periods. Renew is only available on an active contribution with no end date set.

  • End benefit: You must enter the date the benefit will end. Only available on an active contribution with no end date already set.

  • Delete benefit: Remember that deleted benefits CANNOT be restored.

FAQs

Can I set a different contribution amount for individual employees?

Yes. Each scheme may have a default employee contribution amount configured at company level, but this can be overridden on a per-employee basis during assignment.

Why can't I renew a benefit?

Renew is only available on an active contribution that doesn't already have an end date. If an end date has been set, edit that end date directly instead, or wait until the benefit is active with no end date.

What happens when an other benefit reaches its end date?

Once the end date passes, the benefit will no longer be applied in payroll processing.
